Secretary / Administrator – Early Years Setting

About the Role

Ballyragget Community Playgroup is seeking a friendly, organised and dependable Secretary/Administrator to support the smooth day-to-day running of our early years and afterschool service. The successful candidate will be a welcoming first point of contact for families, staff and visitors, while providing accurate and confidential administrative support to the manager and wider team.

Key Responsibilities

  • Welcome parents, children and visitors and respond professionally to telephone, email and in-person enquiries.
  • Maintain accurate enrolment, attendance, contact and other administrative records.
  • Manage correspondence, appointments, calendars, filing, post and general office supplies.
  • Support fee administration, invoices, receipts and basic record-keeping, as required.
  • Prepare letters, forms, notices, reports and meeting documentation.
  • Assist with staff records, training records and recruitment administration.
  • Handle personal and sensitive information with discretion and in line with data-protection procedures.
  • Support the manager with regulatory, funding and service documentation.
  • Work collaboratively with the early years team and undertake other reasonable administrative duties.

Essential Requirements

  • Previous experience in a secretarial, administrative or reception role.
  • Strong organisational skills and excellent attention to detail.
  • Clear, courteous written and verbal communication.
  • Competence in Microsoft Word, email, spreadsheets and electronic record systems.
  • Ability to prioritise tasks, work independently and contribute positively to a team.
  • A professional, approachable manner and a strong commitment to confidentiality.
  • Eligibility to work in Ireland.

Desirable

  • Experience in an early learning and care, school-age childcare, education or community setting.
  • A relevant qualification in office administration, business or bookkeeping.
  • Experience with childcare funding or attendance systems and basic payroll or accounts administration.
  • Knowledge of GDPR and record-management practices.
